Make It Simple for Clients to Work With You
When you work with the same processes every day, they become second nature.
You know where clients should upload their documents. You know when you need their information. You know what happens after month-end and when you’ll be in touch.
Your clients might not know any of that.
What seems clear to you in the bookkeeping relationship might not be as clear to them. When clients are unsure, it leads to more questions, follow-ups, and chasing.
Making it easier for clients to work with you can make your own work easier too.
Give Clients One Clear Way to Do Things
Think about how information reaches you.
Do some clients email documents while others upload them to a portal? Do receipts arrive by text? Do you often dig through old emails to find something a client says they’ve sent?
Whenever possible, give clients one clear process.
Tell them where to send documents, how to contact you, and where they can find information they may need. The fewer choices there are, the easier it is for everyone to know what to do.
Don’t Rely on Clients to Remember
Your bookkeeping deadlines are important to you. They’re likely not at the top of your clients’ minds. Rather than waiting until something is late, build reminders into your regular process.
A short email a few days before you need documents can prevent several follow-ups later. You can set up recurring reminders or use templates. This way, you won’t need to write them from scratch each month.
You’re helping the client give you what you need. This also means you won’t have to chase them for it.
Tell Clients What Happens Next
This is particularly important with new clients. Once they’ve signed the agreement, what happens?
What do you need from them? Where should they send it? When will you complete the first work? When should they expect to hear from you?
You know your process. Explaining it helps the client feel sure that progress is happening.
The same principle applies throughout the relationship. A quick “Here’s what happens next” email can clear up confusion and reduce unnecessary questions.
Answer Questions Before They Have to Ask
If clients keep asking the same question, it’s a sign you should include the answer in your process. You could include it in your welcome info, add an FAQ to your website, or share it in a regular client update. You don’t have to answer the same question individually every time.
Proactive communication isn’t about asking for something from them. Explaining common bookkeeping issues or updating clients helps keep them informed. This way, the relationship isn’t only about requests for documents.
Look at Your Business From the Client’s Side
Every so often, walk through your own process as though you were a client.
- Would you know what to do after becoming a client?
- Would you know where to send something?
- Would you know when information was due?
- Would you know how to book an appointment or ask a question?
- Would you know when you’d hear from your bookkeeper?
Small improvements in these areas can make your business feel much easier to work with. And often, the changes that make things easier for your clients make things easier for you too.
Clear instructions mean fewer questions. Regular reminders mean less chasing. Templates mean less repetitive writing. A consistent process means fewer things you have to remember.
You don’t need a complicated new system.
Sometimes you just need to make the next step a little more obvious.
If you’re wondering…
Where should I start improving my client experience?
Focus on the spots where clients often get confused, forget things, or ask the same questions. Those are usually the easiest opportunities to improve your process.
Should I automate client communication?
Some communication is ideal for automation, particularly recurring reminders and routine updates. Other messages enjoy being personal. The goal isn’t to automate every interaction. It’s to make regular communication simpler
How can I tell whether my process is easy for clients?
Look at the questions and problems that keep coming up. If you often explain the same thing or look for the same documents, you might simplify the process.
